External drive vs. NAS vs. cloud: where should family photos actually live?

At some point, everyone who ends up responsible for a family's photo archive asks the same question: where should this actually live? There are three real answers — a plain external drive, a NAS device, and a cloud storage service — and most of what's written about them is trying to sell you one specific answer. It shouldn't be. Each of the three is a genuine, sensible choice for some families and a poor one for others, and the honest version of this comparison ends with "it depends on your household," not a single winner.

This post is for the deciding stage, not the "I already picked one, tell me I was right" stage. Here's what each option actually costs, in money and effort, and what actually happens when something goes wrong with it.

There is no storage option that can't fail. There's only a choice about which failure you're prepared for.

The three real options

Strip away the marketing and there are three physically different places a photo archive can live. Each has one core strength that the other two don't fully share.

External Drive

A single drive you plug into a Mac. Cheapest option, simplest setup, and the one most families already own at least one of.

NAS Device

A small box on your home network holding several drives, usually in a redundant configuration, so no single drive failing takes everything with it.

Cloud Storage

Someone else's servers, reachable from anywhere, paid for on a recurring basis for as long as you want access.

Notice that none of the three is presented as the "premium" one here — that's deliberate. A NAS isn't strictly better than an external drive; it's a different tradeoff, of money and setup time for redundancy. Cloud isn't strictly better than either; it trades a recurring bill and someone else holding your files for the ability to open your archive from any device, anywhere. The case for a plain external drive

Don't discount the simplest option just because it's simple. A single external drive is the cheapest way to get twenty years of photos off of scattered devices and into one place, and for a lot of families, "one place" is the actual milestone that matters, more than any redundancy scheme. It requires no configuration, no account, no ongoing decision-making. You plug it in, you copy files to it, you unplug it.

The honest limitation is the one in the table above: it's a single point of failure. Drives fail — not often, but not rarely enough to ignore, especially ones that get moved around, dropped, or left running for years. If a plain external drive is the only copy of a family's photos anywhere, that's not a storage strategy, it's a bet. It's a perfectly good primary copy. It's a bad only copy.

The case for a NAS

A NAS — a consumer NAS device, the kind of small networked box aimed at homes and small offices rather than a business — earns its higher cost and setup time with one thing an external drive can't offer by itself: redundancy that doesn't depend on you remembering to do anything. Set up correctly, with drives in a redundant array, a single drive failing inside the NAS doesn't cost you your photos — you replace the failed drive and the array rebuilds itself.

It also solves a second problem that comes up in almost every multi-person family archive: several people need access, from several devices, without passing one external drive around by hand. A NAS sitting on the home network is reachable from any computer on that network, and with additional setup, from outside the house too.

The honest limitation is effort and money. A NAS is a real piece of infrastructure — buying it, choosing how many drives and what redundancy level, and doing the initial setup is not a ten-minute job, and it's meaningfully more expensive than a single drive up front. For a household of one person who wants their photos in one folder, that's usually more machine than the job needs. For a family where multiple people need to get to the same archive on their own schedules, it starts to look like the right tool rather than overkill.

The case for cloud storage

Cloud storage's one genuine advantage over the other two is access: your photos are reachable from any device with an internet connection, with no cable, no home network, and no coordination with whoever has physical custody of a drive. For a family spread across different cities, that's not a small thing — a parent could be looking at the same archive a sibling is looking at, from opposite coasts, at the same time.

The honest limitation is the one that's easy to ignore while you're excited about a free tier: it's recurring, indefinitely, and it's someone else holding your files. The bill doesn't stop when the initial excitement does — it's a payment you make every month or year for as long as you want to keep seeing your own photos, and it tends to only go up as an archive grows past whatever free allowance got you started. There's also a dependency that a drive you own doesn't have: your access runs through one company's app, one company's pricing decisions, and one company's account-recovery process, permanently. That's not a reason to avoid cloud storage. It's a reason not to make it your only copy.

A note on that last risk: "the company might shut down" sounds like a remote, dramatic scenario, but the more common version is duller and more likely — a pricing tier gets restructured, a free allowance shrinks, or a service gets folded into a different product with different terms. None of that is catastrophic if cloud is one of several copies. It's a real problem if it's the only one.

So which one should you actually pick?

If you've read this far hoping for a single winner, here's the honest answer: most families that get this right don't pick one. They combine at least two, because the three options fail in different, largely non-overlapping ways. A drive failing doesn't take down a cloud account. A cloud pricing change doesn't touch a NAS sitting in a closet. A house fire or theft that takes out both a drive and a NAS in the same room doesn't touch an offsite cloud copy or a drive kept at a relative's house.

That combination has a name, and it's worth understanding properly rather than reinventing it badly: the 3-2-1 backup rule, which is really just a formal version of "don't let one kind of failure be the only thing standing between you and your photos."
