Most advice about organizing photos assumes you're starting from zero: one camera roll, a clean slate, pick a system and stick to it. That's not the situation if you're the person in the family who ended up holding twenty years of photos. Yours are already scattered — across a dead laptop in a closet, three generations of iPhones, a couple of external drives nobody's plugged in since a move, and a shoebox of prints someone's grandmother took. Any guide that starts with "first, pick a naming convention" is skipping the actual hard part.
The hard part is that the archive already exists, in pieces, and the goal isn't to build a new one — it's to merge what's there into something that works, without losing anything or spending the next six months of weekends on it. Here's the order that actually gets there.
Step 1: Get everything onto one drive, unsorted, first
Resist the urge to sort as you go. The single biggest reason photo-organizing projects stall out is trying to make decisions about structure and content at the same time as the tedious mechanical work of just copying files off of five different devices. Separate those two problems. This step has one job: get every photo, from every source, onto one external drive, in its original folder structure, untouched.

- Old computers: copy the whole Pictures folder (or wherever the OS was dumping camera imports) as-is. Don't reorganize on the way out — that's a decision for later, and making it twice (once leaving the old machine, once arriving on the new drive) is how folders get duplicated or silently dropped.
- Loose drives and old backups: plug them in, copy the whole thing into its own dated folder (
_incoming/2011-laptop-backup/), and don't try to merge it into anything yet. An unsorted folder with everything in it beats a half-sorted folder with gaps you won't remember later. - Prints and slides: a flatbed scanner or a phone scanning app gets you digital files; a local photo shop or mail-in scanning service is worth the cost for anything pre-1990, where the negatives are the only surviving original. Step 2: Pick one folder structure — year, then dated event
Once everything is in one place, it needs one structure. The one that survives every app, every OS, and every decade you haven't lived through yet is the simplest one: a folder per year, and inside it, a dated folder per event.

The date prefix means folders always sort correctly no matter what file browser or OS is looking at them; the event name means a human skimming the list actually recognizes what's in there without opening it. Two structures that feel intuitive but don't hold up at this scale: organizing top-level by person (most photos have more than one person in them — where does a sibling's birthday photo with both kids in it go?), and organizing by photo type like "vacations" / "birthdays" / "everyday" (categories are a judgment call applied thousands of times, and different family members will judge differently). Date is the one property every photo actually has exactly one of. Let it be the folder. Let everything else — who's in it, what kind of event it was — be something you can search or tag, not something you have to pre-sort into.
Step 3: Cull, but conservatively
Twenty years of photos includes a lot that doesn't need to survive: screenshots that ended up in a camera roll, memes someone saved, eleven nearly-identical shots from one burst where only one is worth keeping. Clearing those out is worth doing — it makes the archive faster to look at and easier to eventually hand to family members who don't want to wade through clutter.
Be conservative about everything else, though, especially anything from before digital cameras made photos free to take. A slightly out-of-focus photo of a grandparent who's no longer alive is not the same category of "bad photo" as a blurry photo of a parking lot. When a photo's only flaw is technical quality, keep it. Storage for photos is cheap. A moment you can't get back is not.
Step 4: Don't try to tag every face by hand
Here's where most well-intentioned organizing projects quietly die: someone decides the archive should be searchable by person, opens the first folder, and starts manually tagging faces. It works for about forty photos. It does not work for forty thousand, across twenty years, where the same kid looks nothing alike at three and at thirteen.
Whatever tool you use for this step, the folder structure from Step 2 is what makes it possible. Software that has to guess at dates and events from scratch does worse than software that gets to start from a family's own two decades of naming decisions.
Step 5: Back it up properly, now that it's actually organized
One consolidated, organized archive on one drive is enormously better than five scattered partial ones — and it is still one drive away from a very bad day. Once the structure exists, back it up the boring, reliable way: a second physical copy on a different drive, and ideally a third copy somewhere offsite. That's the classic 3-2-1 rule, and it matters more here than almost anywhere else, because unlike a document, a family photo has no second author who can recreate it if it's gone.
Step 6: Make sure someone besides you can actually find things
The point of all this isn't a tidy drive — it's photos that get looked at again instead of sitting untouched because nobody, including you, can face digging for them. Once the archive is organized, make it easy for other family members to actually browse it: a shared folder, a simple viewer, whatever lowers the bar from "ask the one person who understands the folder structure" to "open it and look."

How long does this actually take?
Consolidating (Step 1) is usually a weekend, mostly spent waiting on file copies rather than doing active work. Structuring and a first culling pass (Steps 2–3) is a few evenings if you're doing it by hand. Identifying everyone in every photo by hand (Step 4) is the part that realistically never finishes on its own — which is exactly the part worth handing to software built for it.
Person or date — which should the folders be organized by?
Date. A photo happened at exactly one time but usually has more than one person in it, so date is the only property that doesn't force an arbitrary choice. Let who's-in-it be a search or tag layer on top of a date-based structure, not the folders themselves.
Should I delete duplicates and blurry photos?
Clear out the obvious junk (screenshots, memes, near-identical burst shots), but be conservative with everything else — especially anything old enough that a "bad" copy might be the only copy that exists. When in doubt, keep it.
Do I need to rename every file?
No — renaming thousands of individual files is a large amount of effort a good folder structure makes unnecessary. Spend naming effort on folders, which number in the dozens or hundreds, not files, which number in the tens of thousands.
